How do I build a speed to lead workflow so new leads get an instant text, call and email?
Speed to lead means contacting a new lead the moment it comes in. Waiting kills it, so respond immediately and do not make the lead fill out extra forms or wait hours. Build it in Agent Workflows. It works the same for your own business and for every client, and you can put it in its own agent so it can be saved as its own snapshot.
Choose the trigger that matches where the lead comes from:
- A Votel form on a website: use the On Form Submission (form submitted) trigger and select the form that is actually on the website. If the trigger points to a different form than the one visitors fill out, the automation will not run.
- Facebook or Meta lead ads: connect the Facebook Lead Form integration and use the Lead form submitted trigger, so every lead form submission starts the workflow.
- Google Ads search (PPC) ads: the traffic goes to your website, so use the form submission trigger with your form. Google Local Services Ads (LSA) are different: Google sends that lead data to us directly and it has its own trigger.
- Another service such as a lead marketplace: use the Webhook trigger. You get a webhook URL to give to that service, and every time it posts a lead to that URL the workflow runs.
After a lead form trigger, add a Contact lookup step. It is your contact deduplication: if there is no match, for example on phone number, create a new contact and set the fields.
Then build the sequence, a combination of text, call, email and wait:
- Remove any wait steps before the first response.
- Send a text right away that says who you are and that you are about to call, for example: this is [your name] with [your company], I am about to call you about the quote you just requested. Most people do not answer numbers they do not know, so a text the same minute as the call greatly raises your answer rate.
- Place an outbound AI call right away, at most one minute after the text. Faster is better.
- Branch on the call result. No answer or voicemail: wait, then call again. Failed: do not wait. A failed call means a bad number, so mark the contact Do Not Disturb on all channels so you do not waste time on it.
- After a wait, for example fifteen minutes, call again. Copy the call step and keep building out at least four to six attempts, spaced out, while the lead is hot.
- If you have the email address too, send an email as well. Do everything: call, text and email.
- Send yourself a new lead email so you know to call them quickly. To include the form answers, copy all the data from the trigger into the email body.
You can add a one minute delay before the first message if you want it to feel more human, but immediate is recommended. If a form already collected the lead's details, do not send them to a second form; call them and ask your questions.
For quote conversations, letting the AI hold the conversation by SMS, email or any channel usually works better than reminding staff to respond faster, because people are the weakest link.
You can also ask the AI assistant to build the whole workflow. Spell out the plan exactly, for example: send a text before the call, if they do not answer wait fifteen minutes and call again, then wait an hour and call again.
